ColtsTest is operated by CricketNext LTD. We organise opportunities for young cricketers (U11–U18) to participate in multi-day matches hosted by independent cricket clubs.

We are committed to protecting personal data and ensuring safe participation in line with:

  • UK General Data Protection Regulation (UK GDPR)

  • Data Protection Act 2018

  • ECB safeguarding principles

 

2. Roles & Responsibilities

CricketNext LTD

Acts as Data Controller for:

  • Player registration

  • Player profiles

  • Team formation and coordination

Host Cricket Clubs

Act as independent Data Controllers for:

  • Match delivery

  • Safeguarding and supervision

  • Health and safety

Relevant data is shared with Host Clubs to enable participation.

 

3. Information We Collect

We collect the following information through registration and player profiles:

a) Player Information

  • First name

  • Last name

  • Age group (U11–U18)

  • Cricket Profile (e.g. batter, bowler,all-rounder etc)

  • Batting and bowling style

  • Current cricket club 

  • Highest level of cricket played

  • Interest in Captaincy

  • Additional playing details (e.g. teams, competitions)

 

b) Contact Information

  • Name of parent/guardian or registering individual

  • Email address

  • Phone number

 

c) Medical & Emergency Information

  • Medical conditions (if disclosed)

  • Allergies (if disclosed)

  • Emergency contact name and phone number

This information is collected only where necessary to support player welfare.

 

d) Additional Information

  • Notes provided during registration

  • Player availability (submitted post-registration)

 

e) Technical Data

  • IP address

  • Browser type and device information

  • Website usage data (via cookies)

 

4. How We Use Your Information

We use personal data to:

  • Register players and create player profiles

  • Form balanced teams

  • Communicate with parents/guardians

  • Coordinate participation with Host Clubs

  • Support safe participation and welfare

  • Improve our services and organisation

 

5. Lawful Basis for Processing

We process personal data under:

  • Consent – provided by parent/guardian

  • Contract – to enable participation in matches

  • Legitimate interests – organising and improving ColtsTest activities

  • Legal obligations – where safeguarding or regulatory requirements apply

6. Children’s Data

We only collect and process children’s data with parental or guardian consent.

Data is used solely for participation, coordination, and welfare purposes.

7. Data Sharing with Host Clubs

To enable participation, we share relevant data with the Host Cricket Club, including:

  • Player details (name, age group, playing profile)

  • Parent/guardian contact details

  • Medical and emergency information (where necessary)

Once shared, the Host Club is responsible for managing this data in accordance with its own privacy and safeguarding policies.

8. Safeguarding & Welfare

We may use or share personal data where necessary to:

  • Protect player safety and wellbeing

  • Respond to incidents or emergencies

  • Comply with safeguarding responsibilities

Host Clubs are responsible for safeguarding during matches.

 

9. Photography & Video

Matches may be recorded or live-streamed by Host Clubs as part of the cricket experience.

By registering, you acknowledge that participation may involve photography or video recording.

We may use such media for ColtsTest promotional purposes.

 

10. Data Security

We take appropriate measures to protect personal data, including:

  • Secure storage systems

  • Restricted access to authorised individuals

  • Use of trusted service providers

 

11. Data Retention

We retain personal data in line with the purpose for which it was collected.

Active Participation (U11–U18)

Player data is retained and reused throughout the player’s participation in ColtsTest (typically from U11 to U18).

This allows us to:

  • Avoid repeated data collection each year

  • Maintain continuity in player profiles

  • Support team selection and organisation over multiple seasons

 

Post-Participation (After U18)

Once a player is no longer eligible to participate:

  • Personal data will be reviewed and either deleted or anonymised within a reasonable period

  • Certain limited information may be retained where necessary for:

    • Administrative records

    • Legal or safeguarding obligations

    • Resolving disputes

We do not retain personal data indefinitely without a valid reason.
